Padiham & District Photographic Society (“the Society”) is established with the objective to advance the education of the public in the theory and practice of the art and science of photography and is a data controller within the UK for the purposes of the Data Protection Act 2018.

The personal information referred to in this Policy may include name, distinctions, contact details, records of entries to events and competitions, and such other information as may be necessary for the effective management of the legitimate interests of the Society. Any person wishing to verify the information held by the Society or to correct or update this information may apply to the Secretary of the Society.

The Society collects and holds personal information about its committee and its members; others who assist the committee; and those offering their services to the Society; eg, as judges, lecturers or models. This list is not intended to be exhaustive.

This information is used to facilitate the administration of the Society, in connection with its communication needs and also with the services it provides. Some of this information is compiled into a printed handbook, which is circulated to those named within it, to members of the Society and to non-members who visit and enquire about becoming a member of the Society.

The Society also collects and holds information about photographers, as the creators of images, who enter Society competitions and/or events and may used in connection with the activities of the Society. With regard to competitions, this information is held and managed subject to the conditions of entry into competitions and/or events, which are published on the Society’s website or with a link to those conditions.

The Society will normally hold its business records for a minimum of 5 years. The Society may retain historical archives indefinitely, for example but not limited to, records of meetings, handbooks, catalogues, awards and other event results including images.
